Job Title: Executive Administrator

Reports To: Chief Executive Officer

Status: Part or Full-Time

Job Purpose: This position organizes administrative functions, including coordinating schedules, processing invoices, and triaging communications. Duties also include interacting with contract and program partners.

About: WeBuild Concord is a premier agency that provides and inspires the development of attainable and permanently affordable housing options for all of Concord’s residents through building homes, partnerships, and opportunities. 

Coordination of Administrative Functions (60%)

  • Oversee the coordination of schedules and activities for administrative staff and partners.
  • Coordinate the processing of invoices and supporting documents for payments and record-keeping.
  • Oversee the filing (electronic or hard copies) of essential communications, documents, or other information related to the organization’s operations.

Communications (30%)

  • Triage communications to the appropriate team member.
  • Respond to partners and residents through the info email and phone system.
  • Write and edit external communications.

Other Duties (10%)

  • Record the minutes of board meetings and essential interactions as assigned.
  • Participate in external functions as needed with notice.
  • Participate in team meetings.

 

Job Specifications and Qualifications:

Essential

Knowledge:

    • Experience with administrative software such as Microsoft Suite, Google Docs, and other commonly used technology.
    • Experience with hardcopy and electronic filing systems.
    • Communications with partners and acting as a company representative
    • Experience with phone systems and virtual access.
    • The EA should be able to develop standards and practices for administrative functions.

Skills:

    • EA should have strong written and communication skills.
    • Ability to learn various aspects of the agency.
    • Professional demeanor.
    • An ability to work independently.

Education/Experience:

    • Associate’s degree or diploma from a college, technical, business, or vocational, with at least three to five (3-5) years of experience or an equivalent combination of education and experience sufficient to perform the job’s essential duties successfully.

Preferred

  • Experience with construction, project management, or finance industry.
